Privacy Policy

    Last updated: October 18, 2026

    1. Introduction

This Privacy Policy explains how Stephens Quantum LLC ("we," "us," or "our") collects, uses, discloses, and protects personal information through stephensquantum.com and related services (the "Services"). Stephens Quantum LLC is a Florida limited liability company and a software, technology and digital marketing company that designs, builds and operates software-as-a-service platforms, CRMs, websites, data and research tools, AI-assisted products, and marketing services for businesses.

    2. Information We Collect

    • Account information: name, email address, and credentials when you create an account.
    • Communications: messages you send us, including contact-form submissions and email.
    • Newsletter data: email address and subscription preferences.
    • Usage and device data: IP address, browser type, operating system, referring URLs, pages viewed, and timestamps.
    • Analytics events: interactions captured by our first-party analytics system, Beacon, and Google Analytics 4 (see Section 5A).
    • Cookies and similar technologies: first-party cookies and local storage used for authentication, preferences, and analytics.

2A. Business Contact Information We Collect for Outreach

We research businesses using publicly available sources (such as company websites, public business directories and search results) and may record a business name, website, published business email address, business phone and public facts about the business's website. We use this to send a one-to-one business email offering our services and to prepare an audit, report or concept preview. Every outreach email includes a way to opt out; if you opt out we add your address to a suppression list and do not contact you again. To ask what we hold or to have it deleted, email richard@stephensquantum.com.

    3. How We Use Information

    • Operate, maintain, and improve the Services.
    • Authenticate users and secure accounts.
    • Send transactional messages and, with consent, marketing emails.
    • Analyze traffic, performance, and feature usage.
    • Comply with legal obligations and enforce our Terms.

    4. Legal Bases (EEA/UK Users)

Where applicable, we process personal data based on: (a) your consent, (b) performance of a contract, (c) compliance with legal obligations, and (d) our legitimate interests in operating and securing the Services.

    5. Sharing of Information

We do not sell personal information. We share data only with:

    • Service providers who host, process, or deliver the Services on our behalf (e.g., cloud hosting, email delivery, payment processing).
    • Third-party platforms you choose to connect (e.g., X/Twitter, Google, Stripe, Shopify), limited to the data necessary for the integration.
    • Legal recipients when required to comply with law or protect our rights.
    • Successors in connection with a merger, acquisition, or sale of assets.

    5A. Service Providers We Use

Hosting and databases (Hostinger, servers in the United States); email delivery (Resend and Google Workspace); payments (Stripe); website analytics (Google Analytics 4, Google LLC: cookies _ga and _ga_*; GA4 does not store full IP addresses; advertising features are off); AI processing (xAI, for drafting content, audits and reports; we do not permit training on our inputs where the provider lets us control this); and Google Maps Platform for some business-location features, which is governed by the Google Privacy Policy (policies.google.com/privacy). You can opt out of Google Analytics with Google's browser add-on or by sending a Global Privacy Control signal. We do not sell or share personal information for cross-context behavioral advertising.

    6. Cookies and Tracking

We use first-party cookies and local storage to keep you signed in, remember preferences, and power Beacon analytics. You can disable cookies in your browser, but some features may not function correctly.

    7. Data Retention

We retain personal data only as long as needed for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Analytics events are retained in aggregate or pseudonymous form.

    8. Security

We use industry-standard administrative, technical, and physical safeguards including encryption in transit, row-level security on databases, and access controls. No system is perfectly secure; you use the Services at your own risk.

    9. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, port, or restrict processing of your personal data, and to withdraw consent. To exercise these rights, email richard@stephensquantum.com.

    10. Children's Privacy

The Services are not directed to children under 13 (or 16 in the EEA/UK). We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will delete it.

    11. International Transfers

We are based in the United States. If you access the Services from outside the U.S., your information may be transferred to and processed in the U.S., where data-protection laws may differ from those of your country.

    12. Third-Party Links

The Services may link to third-party websites we do not control. Their privacy practices are governed by their own policies.

    13. Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.

14A. Data Security and Breach Notice

We maintain reasonable safeguards for personal information as required by Florida law (section 501.171, Florida Statutes). If a breach of security affects your personal information, we will notify you without unreasonable delay and within the time Florida law requires.

    14B. Text Messages

We do not send SMS or text messages and do not use automated dialing.

    14C. DeepView

DeepView compiles public information about businesses and the people who work there to help our customers prepare for business sales conversations. If you are named in a DeepView report and want to know what we hold, correct it or have it deleted, email richard@stephensquantum.com.

    14D. LinkedIn

We use the LinkedIn API only to publish Stephens Quantum LLC's own blog articles to our own LinkedIn presence: the Stephens Quantum Company Page and the profile of our founder, Richard Stephens. A Stephens Quantum administrator authorizes our app once. We store only what that connection needs: the OAuth access token (and a refresh token, if LinkedIn issues one), its expiry and granted permissions, and the LinkedIn identifier and display name of the authorizing account or the Company Page the articles are published to. Tokens are kept on our own servers, are used only by our publishing system, and are never shared or sold.

We do not use the LinkedIn API to read, collect or store data about other LinkedIn members, their connections, comments, messages or analytics, and we do not post on behalf of anyone else. Access can be revoked at any time in LinkedIn's settings, or by emailing richard@stephensquantum.com, and we then delete the stored token.

    14. Contact
